The conditions for booking tours and travel with Scanbalt Experience follows the agreement made by the (the) Estonian National Board for Consumer Policies.

Who can travel with Scanbalt Experience?
You should be 18 years old; we make aömost no exceptions to that rule. We might make excaptions if its a person 16 years or older travelling with adult relatives. You need to ask us before making a booking if you can bring a person younger than 18. You should be able to take care of yourself. We are eager to help, but our tours are semi structured and made for independent travellers. All travellers must be prepared to help and take responsibility for preparing meals, setting up camp etc. You should understand English reasonably. Travellers will appreciate our tour if they are fit enough to take a few hours walk in hilly terrain or similar. Some of the tours take the passengers to remote areas where the access to healthcare is strictly limited. Scanbalt experience cannot take responsibility for illness or injuries that occur under circumstances beyond our control.

Tickets etc

Your booking is complete when Scanbalt Experience confirmed it.


You need to inform us if you cant go on the tour. Just skipping an payment is not a correct way to cancel your tour, even if a last date for payment is passed. You can cancel your trip without giving us any reason up to 6 weeks before departure. Notice that you will get back 70% of the tickets value.

When paying a deposit it means that the passenger have paid part of the price for the ticket, normally 20-30 %. If nothings else is mentioned its up to the passenger to pay the remaining money before deadline, normally we want the money on our account 6 weeks before departure. If you dont pay the the remaining part of the price before deadline you lose your booking and the deposit. Deposit is not refundable. So if you paid 500 SEK in deposit and cant go on the tour you dont get the depsoit back.  

Scanbalt sometimes except name change on a booking if the person who made the booking cant go, Scanbalt sometimes also can offer a person who paid for a tour to go on an other similar tour if the passenger have problem to join the tour that was booked first. Scanbalt dont make any promises regarding this, it depends on which tour it is, days to departure and how many bookings there are. So in theory Scanbalt could give two different answers to two persons cancelling the same tour. If one person gets the possibility to change booking for an other departure or name it doesnt automaticly mean other passengers can do the same.  

A passenger can cancel a tour if something serious has happened to him/her, a relative or a travel buddy. If something has happened, contact us and provide us with a written doctor's certificate. Any cancellation will incur a cancellation charge. These charges are a percentage of the holiday price, and are as follows:

30 days or more 5% (minimum 400 Estonian crones)
14 days or more 15%
24 hours or more 50%
Less than 24 hours 100%

Local payments is not part of the sum you need to pay if cancelling a tour.

Groupbooking

The person making a booking for a small group is also fully responsible for the payment of all persons in the group. On request the payment can be devided between the persons but still the contact person have full responsibility for the booking and full payment.

Cancellation of tours
A minimum number of passengers are required to operate each tour. If nothing else is mentioned the number is minimum 20 passengers. If numbers are short, we may cancel the tour. The traveller will be informed about a cancelled tour two weeks before departure. For a tour shorter than six days travellers will be informed ten days before departure and for one-day tours two days notice will be given. Scanbalt Experience will inform travellers of cancellations via e-mail. All money paid for a cancelled tour will be returned to the traveller as soon as possible.

Changes and delays
Scanbalt Experience reserves the right to alter the route or itinerary of any of its tours and arrange alternative carriers to those advertised if necessary. No refunds will be given in these circumstances or in the event of any delay, alteration of a trip due to severe weather conditions or mechanical failure, for example. So don't plan to catch a flight home to Tokyo or Sydney the same evening a longer tour should be finished.

Independent companies run some of the activities you can find in our materials or presented by our drivers/guides. Scanbalt Experience cannot be held responsible for the action or performance of these companies.

Changes of price
Scanbalt Experience has the right to change the price for a tour even after it has been booked by a traveller. The price can't be changed 20 days before the day of departure or closer. Acceptable reasons for a changed price are; changes in costs for transports, changes in taxes, fees and tolls affecting products or services which are included in the tour, changes considering the value of currencies which affects the costs for the operator. The price will only be changed if the cost increases or decreases by 120 Estonian crones or more. The traveller will be informed about the new price as soon as possible.

Accommodation
The passenger is responsible for organizing accommodation, if not informed of something else. Read the itineraries on the tour description and ask the driver/guide. On some tours we bring tents; they can be used some nights. Be prepared to share the tent with one or two persons, male or female. The fee you pay depends on the camping fee for each camping ground. Remember to book beds early in the high season, we recommend before the tour starts.

Meals
No meals are included on the tour unless the itineraries say so. On the bus, if there will be some cooking equipment so it is possible to prepare meals. The passengers have the possibility to cook food together and arrange a dinner kitty system. Scanbalt Experience does not take any responsibility for the meals or the money collected for the meals. The driver/guide can participate in cooking and organizing the meals as one of the group and should also pay for the meal just like the passengers.

The responsibilities of the passenger
The traveller is responsible for bringing the necessary documentation such as Visa and passport. All travellers must have travel insurance. Be on time for departures; try to be there 15 minutes before the agreed time. The bus waits 15 minutes if possible. When we depart from a terminal its not always possible to wait longer than 1-10 minutes. If you miss the bus, it's your responsibility to catch up; call the driver or the office to get instructions. Scanbalt Experience will not compensate any passengers who miss the departures.

Luggage and belongings
All travellers can bring luggage equivalent to one big backpack, one smaller bag and a sleeping bag. No one can bring bikes, surfboards, extra bags with food, illegal immigrants, cocaine, a cage with chickens, weapons etc. Scanbalt Experience accepts no responsibility for loss or damage to personal belongings or luggage. That also includes theft from bus or tents.
